The following guidelines apply to footnotes:

The footnotes should be consecutively numbered throughout the document, starting with 1.

In this work sample, you will do the following:

• Create the document with the footnotes, placing the footnotes within the text

Paginate and print a draft of the document for review by the originator

Creating the Document document, if additional changes are made.

Single-spaced documents--Follow these steps exactly for single-spaced documents, even though you will be typing a format change for single spacing and the document is already in single spacing.

Indented projects--Follow these steps exactly for indented projects, even though the rough draft will not document, choose Change Document Format or Change Alternate Format in the CREATE OR REVISE DOCUMENT menu.

Choose the items in the FORMAT SELECTION menu that you want to change:

Typing the Footnote

Change to single spacing. Make other changes, if necessary, for the footnote:

• Press CHG FMT.

• Choose Change Line Format in the FORMAT SELECTION menu.

• Choose Line Spacing 1 = Single in the LINE FORMAT menu.

• Press ENTER to return to the typing area.

To keep the footnote from being split during pagination, put in Keep instructions:

• Pres s CODE + INSTR.

• Choose Begin Keep in the INSTRUCTIONS menu.

• Press ENTER.

To type the footnote:

• Type a tab.

• Press CODE + 1/2

• Type the footnote number.

• Press CODE + 1/2 J, •

• Type the footnote text.

• At the end of the footnote, type a required carrier return.

To type the End Keep Instruction:

• Press CODE + INSTR.

• Choose End Keep in the INSTRUCTIONS menu.

• Press ENTER.

Return to double spacing. Make other changes, if necessary, for the document.

• Press CHG FMT.

Continue typing the document until you get to the next footnote. Then, repeat the steps for the footnote starting with the "Typing the Draft Document and Placing the Footnotes within the Text. "

Checking Spelling, Hyphenating Paginating and Printing

The Draft Document

While in the typing area, press the SPELL key.

When the prompt, Type document name; press ENTER appears, press ENTER.

When the prompt, Type diskette name; press ENTER appears, press ENTER.

Choose the ITEM(s) in the CHECK DOCUMENT Menu as desired.

Press ENTER to begin spelling check, hyphenating, paginating and printing the document.

Revising the Draft Document

If it is necessary to revise the draft document, make the reV1S1ons in the Revise Document Task using the procedures you have learned.

If you add text to the document, do not type the addition between the footnote reference and the footnote text.

You may make as many revision cycles as necessary. When you complete the each revision cycle, paginate and print the document.

When all of the revisions are complete, you are ready to create the final document.

• Press FIND.

• Press CRG FMT.

• Press ENTER.

Note: If there are other format changes in the document, you may have to press FIND and ENTER more than once to place the cursor under the format change for the footnote.

• Press MOVE.

• When Move What? prompts, press CODE

This highlights the footnote and places the cursor under the End Keep Instruction.

• Press ENTER.

• When To Where? prompts, press CODE

t! to go to the bottom of the page.

• Press ENTER to place the footnote at the bottom of the page.

For the first footnote on the page, type the divider line:

• Type the divider line--a row of underscores 36 mm (1 1/2 inches) long.

For additional footnotes:

• Press CODE + '\. to go to the top of the page.

• Continue with the steps in this section, "Moving the Footnotes, It to place each footnote at the bottom of the page.

Note: You will know that you have moved the last footnote in the document because when you press FIND and ENTER, the cursor will go to the format change before the divider line.

For additional pages with footnotes:

• To go to the next page, pres s GO TO and ENTER.

• Repeat the steps in "Moving the Footnotes" for each page with footnotes.

Note: If the line with the footnote reference number and the footnote print on different pages, move the line with the footnote reference number to the page with the footnote. If the added line makes the page go past the Last Typing Line, change the Last Typing Line in the PAGE FORMAT menu.

Short pages--For short pages, insert extra carrier returns above the divider line so that the footnotes will print 36 mm (one inch) from the bottom of the page. Press CODE

t/ and check the Line Number on the status line to make sure that it equals your Last Typing Line.

Indented Projects--To adjust the right margin of the indented lines, type a space and a backspace on the first incorrectly.-adjusted line of each paragraph.

When you have moved the last footnote in the document, press END and continue with the "Printing the Final Document" section below.

Printing the Final Document

Press REQST.

Choose Print Document in the REQUEST TASKS menu. Follow the prompts to type the document name and diskette name, if necessary.

Make your changes (if any) in the PRINT DOCUMENT menu.

Press ENTER and follow the messages to print the document.

Revising the Final Document

Making Minor Revisions

On occasion, you may have to make reV1S10ns to the final document. The revis ions may change the page endings.

Normally, it is acceptable to have from one to four blank lines before the divider line. For this reason, you may

be able to make minor additions or deletions without changing the page endings.

If you delete a full line of text, you could simply add a carrier return before the divider line.

Note: Check the Line Number in the status line to be sure that the bottom of the page is equal to or less than the Last Typing Line in the PAGE FORMAT menu.

Adding or deleting the carrier returns before the divider line keeps the bottom margin approximately 24 mm (one inch) .

Make major revisons to the document you duplicated in the

"Creating the Final Document" section of this work sample. The duplicate will be your new draft document.

Delete the final document from the diskette. (See

"Delete Document Task" in the "Quick Reference" section of the Operator Reference Guide.)

After you make the changes to the duplicate document, repeat the steps in this work sample from "Paginating the Draft Document" through "Printing the Final Document. "
