Exam Services Generalist

WHAT WE DO:

The Canadian Alliance of Physiotherapy Regulators (CAPR) is a credentialing and assessment agency that provides Evaluation Services on behalf of our Members – the Canadian provincial and territorial physiotherapy regulators (called Colleges). On behalf of our Members, we review the education and qualifications of applicants educated outside of Canada to determine whether or not they are substantially different from those of Canadian-educated physiotherapists. For both Canadian- and internationally-educated physiotherapists, we administer the Physiotherapy Competency Examination (PCE) to determine a candidate's readiness for safe, effective and independent

physiotherapy practice. CAPR also supports physiotherapy regulators across Canada by providing policy, research and knowledge brokering services.

WHAT WE NEED:

We are seeking two (2) temporary, full-time Exam Services Generalists to assist us in our Exam Program for twelve (12) months.

POSITION SUMMARY:

Reporting to the Manager, Exam Delivery and Administration, the Exam Services Generalist provides a broad range of administrative support and service to the Exam Program. Working with both teams in the Program (Exam Delivery and Administration and Exam Development), the position will support the development, maintenance and delivery of the Physiotherapy Competency Examination (PCE). Working closely with the Exam Program management team, the Exam Services Generalist will support the ongoing smooth and timely delivery of functions that meet timelines for exam processes and deliverables, required before, during and after the examination on an as needed basis.

KEY RESPONSIBILITIES

• Supports the maintenance of digital and paper records of client document processing in accordance with organizational policy and procedure (client communication, phone logs and document intake);

• Assists in the maintenance of examinations databases;

• Responds to inquiries and requests in a timely and effective manner maintaining ongoing communication with examination staff and candidates to ensure the collection of necessary documentation and information;

• Provides reports on service volumes and timelines;

• Assists in the preparation of candidate, examiner, and standardized client registration and orientation materials;

• Provides support to examiners, item developers and exam program consultants;

• Supports the processing and implementation of Alternative Accommodation Requests and approved plans as assigned by Manager;

• Provides assistance to the business units on an as needed basis – e.g. CAPR Screening Room, Webinars, Training Video Production, etc.;

• Assists with the administration of examination scoring as assigned;

• Assists in checking and confirming accuracy of examination results for candidates and preparing master materials for examination results packages;

• Provides client service support for client self-service and Prometric interfaces

• Adheres to CAPR Policies and Procedures and escalates issues and complaints to the Examinations Officer and/or Management as appropriate;

• Participates in CAPR quality improvement initiatives;

• Performs other duties as assigned.

• Exceptional interpersonal skills and works well within a team with the ability to adapt to different training/mentoring styles;

• Works well independently and can multi-task and manage changing/competing priorities while maintaining accuracy and a focus on details;

• Possesses excellent verbal and written communication skills;

• Demonstrable problem solving and critical thinking skills;

• Ability to exercise confidence, courtesy, professionalism, tact and diplomacy when dealing with stakeholders through various communication means.

QUALIFICATIONS:

• Post-secondary education with a degree in Business, Administration or related field (Master’s preferred);

• A minimum of 3 years’ experience in office administration required. Experience in related fields such as professional associations and colleges, university/college examinations and admissions and international relations preferred;

• Demonstrated proficiency in Microsoft Office programs including Outlook, Excel, Word and Teams as well as Adobe.

• Proficiency with databases and data analysis tools including modifying system configurations and index values, bulk document generation and bulk input of client data from external sources (with a knowledge of Access and/or iMIS preferred).

• Fluency in English required, with a fluency in French an asset.
